Redroofs Calendar Sync – Privacy Policy

1. Purpose

Redroofs Calendar Sync is a private application operated by Redroofs to synchronise accommodation booking information from Bookster into Google Calendar.

The application supports the internal management of reservations, guest arrivals and departures for Barn Owl, Bumblebee and Redroofs by the Woods.

2. Information processed

The application may process the following information supplied by Bookster:

• Guest names and contact details, including email addresses and telephone numbers.

• Booking references, arrival and departure dates.

• Accommodation details and the number of guests.

• Relevant reservation information, including booking notes.

3. How information is used

Booking information is used solely for managing Redroofs accommodation reservations and related guest services.

Bookster remains the authoritative source of booking information. Changes and cancellations made in Bookster are reflected in the synchronised calendars.

4. Google Calendar access

The application uses the Google Calendar API to create, update and remove booking events in dedicated Google Calendars.

These calendars are privately shared with authorised Redroofs personnel, who have read-only access to booking information.

Calendar information is not intentionally made publicly accessible or shared with unauthorised users.

5. Storage and security

Booking information is processed through systems controlled or authorised by Redroofs and stored in Google Calendar for operational purposes.

Access to the calendars and synchronisation credentials is restricted. The application does not use guest information for advertising or sell personal information.

6. Retention

Calendar information is retained for as long as reasonably necessary for accommodation management. Historical booking events may be removed in accordance with Redroofs' data retention arrangements and applicable legal obligations.

7. Data protection rights

Individuals may contact Redroofs to enquire about personal information held in connection with their accommodation booking, or to exercise applicable data protection rights under UK data protection legislation.
